The diary and the claim are kept apart

Court dates live in a shared calendar or a spreadsheet, and the Legal Aid claim is reconstructed from memory weeks later. Attendances are lost between the two, and the firm rarely discovers which ones.

Nobody is certain who is covering what

Twelve appearances across four courts need a solicitor against every line by the evening before. Where that assignment is informal, the morning goes on telephone calls instead of preparation.

Payment arrives in batches, not per claim

The Legal Aid Board pays against certificates in monthly returns. Matching one payment back to the claims it covers is nobody's favourite task, and it is where fees quietly go missing.

The case file, the claim, the reminder to the client and the fee in the monthly report all follow from a court date somebody has to attend.

    Before the office empties

    Tomorrow's list went out by email last night. This morning it is a PDF for the folder, a calendar entry on each solicitor's phone, and a flag against the two appearances with nobody assigned.

    Calling the list

    Call the case, record the outcome, set the adjourned-to date, flag the bench warrant. Recorded at the back of the courtroom rather than written down and typed up that evening.

    Back at the desk

    Generate the LA1 with both May attendances on one form, record the attendance in six-minute units, and send the client a reminder for the next date.

  4. Month end

    Return and reconciliation

    Batch the month's claims into a single return with a reference. Record each payment against the claim it settles, and read claimed against paid by certificate number. Outstanding claims, and their age, sit on the reports screen.

Frequently asked questions

What happens at the end of the trial?
The subscription begins and the first payment is taken. Nothing is charged during the 30 days, and the subscription can be cancelled before the trial ends without a charge.
Is there a contract or a minimum term?
No. The subscription is monthly and is cancelled in the billing settings by the firm, not by a request to us. Access continues to the end of the period already paid for.
Can we move our existing records across?
Yes. Clients and appearances are imported in bulk from a spreadsheet, so a live diary does not have to be retyped before the firm can use the system.
How is our clients' data handled?
The firm is the controller of everything it enters about its own clients and matters, and CaseLog is the processor, under a data processing agreement. PPS numbers are masked on screen, and revealing one is written to an audit log with the IP address and the device, as is every download of a document. In-camera cases are redacted automatically in court lists. Claim forms are not redacted, because the Legal Aid Board needs the client's full identity to process payment, so they carry a reporting-restriction banner instead.
Are text messages charged separately?
No. SMS and email reminders form part of the subscription. There are no text credits to purchase and no charge per message.
How are additional users charged?
The base price covers the practice and its first user. Each additional active user is EUR 30 per month, billed from the day the account is activated. Suspending a user stops that seat being billed.
Does it suit a mixed practice?
It is built around court appearances and Legal Aid, so criminal defence work gets the most from it. Firms with a mixed caseload run CaseLog for the court side and keep an existing system for conveyancing, probate and family.
Who supports it, and how quickly?
Support is by email at support@caselog.ie, and the reply usually comes within one working day. There is no separate support charge and no paid tier for it.
What happens to our data if we leave?
The firm's full record can be exported at any time, and individual screens export to CSV or PDF. Nothing is withheld to keep an account open.
